1. Who we are

Flowerdog & Co (“we”, “us”, “our”) is the data controller for personal data collected through flowerdogandco.com and the Society of Stitchers Membership. [Insert registered business address. Confirm ICO registration status and number, if applicable.]

2. What personal data we collect

  • Name and email address, provided at sign-up, checkout, or newsletter subscription
  • Billing and limited payment information (processed directly by Stripe; we do not store full card numbers)
  • Postal address, for customers of the Postal Subscription product
  • Country/location, used for tax threshold monitoring and shipping
  • Community activity — posts, comments, and messages within the private Community
  • Technical data — IP address, browser type, and site usage data collected via standard website analytics/cookies
  • Marketing engagement data — email opens/clicks, tags reflecting your interests or purchase history, used to personalise communications

3. How we use your data

We use personal data to:

  • provide and manage your Membership, subscriptions, and orders;
  • process payments via Stripe;
  • communicate with you about your account, orders, and (where you have consented, or as permitted by law for existing customers) our newsletter and promotions;
  • operate and moderate the private Community;
  • meet our legal and tax obligations, including monitoring international sales thresholds for VAT/GST purposes;
  • improve our products and services.
  •

4. Who we share data with

We use the following third-party services to operate the business, each of which processes personal data on our behalf under their own data processing terms:

FluentCRM and FluentCart (email marketing, e-commerce, hosted on our own WordPress server)

Stripe (payment processing)

FluentCommunity (private community hosting)

Our web hosting provider (Siteground)

Email delivery service (WP Mail SMTP / AWS)

We do not sell personal data to third parties.

5. International data transfers

As we sell to customers outside the UK and EU, some personal data may be processed or stored outside the UK/EEA by the third-party services listed above.

6. Data retention

Membership account, order, and payment-related data is retained for 6 years following account closure or your last transaction with us, in line with our legal obligations to keep financial and tax records and the standard limitation period for contract-related claims in England and Wales.

Marketing contact data (for example, newsletter subscribers who have not made a purchase, or Members whose subscription has lapsed) is retained for 12–24 months of inactivity — no opens, clicks, or purchases — after which it is deleted or anonymised. If you unsubscribe from marketing communications, we retain a minimal record (your email address only) on a suppression list indefinitely, solely to ensure we do not contact you again.

7. Your rights

Under UK GDPR, you have the right to access, correct, delete, or export your personal data, to object to or restrict certain processing, and to withdraw consent to marketing at any time. You can also complain to the Information Commissioner’s Office (ICO) if you believe your data has been mishandled.

8. Cookies

We use cookies and similar technologies on flowerdogandco.com, managed through a consent management platform (Cookie Compliance by Hu-manity.co). This tool detects the cookies and trackers actually in use, blocks non-essential ones until you’ve made a choice, and lets you view or change your preferences at any time via the consent banner/preference control on our site.

Cookies generally fall into these categories: strictly necessary (required for core site functions such as checkout and login, and do not require consent), and non-essential categories such as analytics or marketing, which are only active if you consent.

9. Children’s data

Our services are not directed at children, and we do not knowingly collect personal data from anyone under 18.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be notified via email or website notice.

11. Contact

Questions or requests regarding your personal data can be sent to support(at)flowerdogandco(dot)com.
